Import Document Properties

It's easy to import the property values (metadata) for a group of documents in Meridian Portal. The documents can either reside in a package or on the clipboard. The property values can be imported from files in either Comma Separated Value (CSV) or Microsoft Excel (XLSX) format.

You must be assigned to the Project Owner, Document Controller, Contributor, or Contractor role to import metadata to clipboard documents. To import metadata to package documents, users with the Contractor role may only do so for rejected packages. The preceding roles may import metadata to packages in any workflow state.

Imported metadata is matched to repository documents based on the Item ID column and on the Filename column if the Item ID column is empty. If the Filename column is empty or duplicated, the document will be skipped. All existing document properties will be overwritten with the values in the import file and cannot be undone. Be sure the values that you want to import are correct. We recommend that you exclude from the import file any columns that you do not want to overwrite. Make sure no empty or invalid column names exist in the import file.

Note:
  • If importing a value to a property fails for any reason, the property is skipped and the import continues.
  • Importing an empty property value will clear an existing property value. If the property requires a value to meet compliance rules, the property is skipped.
  • After the import has finished for each document, it will be automatically checked for compliance as described in Configure Document Compliance Rules.

The easiest way to create an import file is to first export the existing document properties as described in Export Document Properties and then modify the values as necessary. If you create a CSV file using a different program, it must be saved in UTF-8 comma-delimited format.

ClosedImport Metadata to Clipboard Documents

To import the metadata to clipboard documents:

  1. Place the documents for which you want to import their metadata on the clipboard as described in Add Documents To the Clipboard.

  2. View the clipboard as described in View the Clipboard.

  3. In the header toolbar, click Metadata and then in the menu that appears, click Import Metadata.

    The Import metadata dialog box appears.

  4. Click Import.

    The Open dialog box appears.

  5. Select the metadata file that you want to import and then click Open.

    The Open dialog box closes and the Import metadata dialog box shows the progress as the file is imported.

  6. When you are finished reading the results, click Close.

ClosedImport Metadata to Package Documents

The package must be in the Edit (rejected and acknowledged) state to perform this task.

To import the metadata to package documents:

  1. View the package of documents for which you want to import their metadata as described in View Packages.

  2. Click the Actions icon Three blue circles stacked in a column. of the document for which you want to import properties.

  3. Choose between two options:

    • Click Import Metadata on the menu that appears.

      The Import metadata dialog box appears.

    • If the package Status is rejected:

      1. In the header toolbar, click Metadata.

      2. In the menu that appears, click Import Metadata.

        The Import metadata dialog box appears.

  4. Click Import.

    The Open dialog box appears.

  5. Select the metadata file that you want to import.

  6. Click Open.

    The Open dialog box closes and the Import metadata dialog box shows the progress as the file is imported.

  7. When you are finished reading the results, click Close.
