Set Under Change

When a package is received and accepted from a contractor, small modifications on the received documents may be necessary. To support this use case, the documents can be assigned by a Document Controller or Project Owner to an internal member. Meta data changes can be done by the Document Controller, but more technical work can be performed by an internal user with the Contributor role. When a document is under change, only the current assignee can make changes to the document.

It is not possible to send, release, or submit a document that is in Under Change status.

Important!

The Upload new revisions setting must be enabled for the project type to utilize this functionality.

Only documents in For Routing status can be set under change.

You must be assigned to the Tenant Administrator, Document Controller, or Project Owner role to perform this task.

ClosedWork Flow

The Under Change functionality follows this general workflow:

  1. The Document Controller or Project Owner adds documents in For Routing status to their clipboard.

  2. The Document Controller or Project Owner selects the Set Under Change command and assigns the documents to the appropriate user.

  3. The documents are assigned to the user and the document status changes to Under Change.

  4. The Assignee makes revisions and then uploads the revised documents.

  5. The revision is automatically matched to the appropriate document OR the Assignee manually matches the revision to the document.

    Only the Update current revision option is available in the Commit As field.

  6. The Assignee commits the changes.

  7. The document status changes to Draft.

  8. The Assignee accepts the documents with the status of Draft.

  9. The system changes the status of the documents to For Routing.

ClosedSet a Document Under Change

To set a document under change:

  1. Add the document you want modified to your clipboard.

    The document must be in For Routing status.

  2. In the toolbar, click the Menu icon Three blue circles stacked in a column..

  3. Click Set Under Change in the menu that appears.

  4. Select the user to whom you want to assign the document from the Assign change to field.

    You can also assign the document to yourself.

  5. Click Assign.

    The document is assigned to the user. The document status changes to Under Change.

ClosedRetract Under Change

If a document under change is assigned to a user and they are not able to complete their tasks, Document Controllers and Project Owners have the option to retract the document. As part of this process, they can accept the changes that have been completed by the Assignee or they can choose to discard them.

To retract a document under change:

  1. Add the document you want modified to your clipboard.

    The document must be in For Routing status.

  2. In the toolbar, click the Menu icon Three blue circles stacked in a column..

  3. Click Retract Under Change in the menu that appears.

  4. Choose between two options:

    • Accept changes made by assignee

    • Discard changes made by assignee

  5. Click Retract.

    The document is retracted and is no longer assigned to the user. The document status is changed to For Routing.
