Manage Document Templates

Documents in Meridian Portal can originate from outside Portal or they can originate from templates within Portal. Document templates improve productivity by relieving users from having to create standard information such as headers, footers, title blocks, logos, standard text, and so on. You should configure document templates that provide users with as much data as possible already in the file.

Document templates improve quality by ensuring that all users begin documents from the same set of pre-configured and pre-approved templates. You can store document templates in Portal where they can be more convenient than a shared network location.

Each Portal document type can have multiple templates in multiple file formats. For example, a Drawing document type might have AutoCAD templates for several sheet sizes, various Autodesk Inventor model templates, and other graphics file templates. Because all of the file types are treated as the same document type, users can select any of the templates depending on their needs.

When a user creates a new document from a template, Portal makes a copy of the template file as the new document and then applies the document type's other options to the new document, such as its file name, revision number, and so on.

To perform the tasks described on this page, you must be assigned to the Tenant Administrator role.

Note:

Only document templates for the Standard Project project type will be synchronized to PowerWeb.

ClosedView Document Templates for a Project Type

To view the document templates for a project type:

  1. On the Meridian Portal Landing page, at the bottom of the navigation bar, click the Account Settings icon A gear symbol..

    The Account Settings page appears.

  2. In the menu, click Template Management.

    The Add Template list appears and shows the current document templates that are available for the project type that is selected in the toolbar.

  3. To see the templates for a different project type, select the project type from the Project Type list in the toolbar.

ClosedAdd or Edit a Document Template

To add or edit a document template:

  1. On the Meridian Portal Landing page, at the bottom of the navigation bar, click the Account Settings icon A gear symbol..

    The Account Settings page appears.

  2. In the menu, click Template Management.

    The Add Template list appears and shows the current document templates that are available for the project type that is selected in the toolbar.

  3. To manage the templates for a different project type, select the project type from the Project Type list in the toolbar.

    The project list updates to show the templates assigned to the selected project type.

  4. Choose between two options:

    • To add a new template, in the toolbar, click A blue circle with a blue plus symbol in its center. Add Template.

      The Add New Template dialog box appears.

    • To edit an existing template, click A blue pencil icon. Edit in the row of the template that you want to edit.

      The Edit Template dialog box appears.

  5. Click options or type values using the descriptions in the following table.
  6. Click Add or Save to save your changes.
Template options
Option Description
Name

The name of the template as you want it to appear to users.

Document type

Select the document type for which you want this template to be available to users.

Category

A list of up to 100 categories to associate with this template.

To add a category:

  1. Click the add button A blue circle with a blue plus symbol in its center. and select categories from the list that appears.

  2. Type a word and press the space bar or press Enter.

To remove a category:

  • Click the category box.

Description

An optional description (254 characters max.) of the template.

Upload Template

Click the upload button A blue arrow pointing up from a rectangle. and select a file from your PC. The file is subject to the same limitations as described in Submit New or Revised Documents.

ClosedDelete a Document Template

To delete a document template:

  1. On the Meridian Portal Landing page, at the bottom of the navigation bar, click the Account Settings icon A gear symbol..

    The Account Settings page appears.

  2. In the menu, click Template Management.

    The Add Template list appears and shows the current document templates that are available for the project type that is selected in the toolbar.

  3. To delete the template from a different project type, select the project type from the Project Type list in the toolbar.

  4. Click the Delete button A blue trash can. in the row of the template that you want to remove.

    A dialog box opens, asking you to confirm your choice.

  5. Click Delete.

    The template is removed from the template list.

ClosedDownload Previously Uploaded Template

To download a previously uploaded template:

  1. On the Meridian Portal Landing page, at the bottom of the navigation bar, click the Account Settings icon A gear symbol..

    The Account Settings page appears.

  2. In the menu, click Template Management.

    The Add Template list appears and shows the current document templates that are available for the project type that is selected in the toolbar.

  3. To manage the templates for a different project type, select the project type from the Project Type list in the toolbar.

    The project list updates to show the templates assigned to the selected project type.

  4. Click the Download button Paper with down arrow in the row of the template that you want to download.

    The download will start. A confirmation message appears once the download is complete.

ClosedExport and Import Document Templates Settings

If you are a Tenant Administrator, you can use Configuration Copy Import and Export to export these settings from a tenancy and import them to another tenancy.

This feature is only available if the ConfigurationCopy feature toggle is enabled.
