What's New in the 2022.3 Release

Meridian Cloud is software as a service (SaaS) that is continuously improved. We deploy these improvements to your account (tenancy) as soon as they are completed and tested.

Some of the improvements are minor and are immediately available to you to use. These typically have little to no impact on your data and processes and do not require configuration.

Some of the improvements are part of a major feature that has not yet been completed. These typically can have an impact on your data or processes and might require configuration.

Partial improvements are typically disabled in your account until the entire feature has been completed and tested. Each quarter, we enable the completed major features either for all Meridian Cloud accounts or for specific accounts after consulting with you.

ClosedRelease Toggles And Feature Toggles

A release toggle is a temporary switch used while a feature is being developed and tested on Accruent-only tenancies. It hides the feature from production releases until the feature is ready for release. We enable all release toggles as part of the release process—first for Accruent-only tenants, second for customer non-production tenants, and finally for customer production tenants. There is 3 to 4 week gap between each step. The functionality enabled by a particular release toggle is noted below.

A feature toggle is used to configure an application depending on a customer's subscription level or unique needs. These can be changed per customer via a Support request. Learn more about feature toggles.

Aspose is now used as the default rendering engine for Microsoft Office files. This enhancement is enabled by the 2022_2_CPF_Aspose release toggle.

If you have licensed the 2022 version of Meridian Enterprise, you can create a Meridian Cloud rendering profile. This enhancement allows Meridian Enterprise customers to make use of the elasticity of the Meridian Cloud Publisher.

To use this rendering module:

  • the CloudPublisherSubscription feature toggle must be enabled,

  • you must have a Meridian Cloud tenancy, and

  • you must have a subscription to Meridian Cloud Publisher

The maximum size of the workflow log is now set to 2 GB. If the workflow log exceeds the maximum size, lines are removed from the start of the log until the log is smaller than 2 GB.

If you need to see the full workflow log after it has been truncated, submit a request to Accruent Support.

As of the Meridian Enterprise 2022 release, if you have a publishing job configured for a Meridian Cloud rendering profile in Meridian Enterprise, you can configure your publishing job to generate a thumbnail when you update a rendition. When you generate a rendition of the document, Meridian Cloud will generate the thumbnail as a .jpeg file.

We have added two new feature toggles related to the Cloud Explorer and legacy Explorer:

  • UseNewExplorerAsDefault – Sets the Cloud Explorer as the default Explorer client. This feature toggle also controls which Explorer URL is used by the Hamburger menu in the upper-left corner of the screen.

    You must enable the 2019_Q3_IntroToNewExplorer feature toggle before you can enable this feature toggle.

  • HideClassicExplorer – Hides the legacy / classic Explorer. Only the Cloud Explorer is available.

    You must enable the 2019_Q3_IntroToNewExplorer and UseNewExplorerAsDefault feature toggles before you can enable this feature toggle.

Additionally, if you are a Tenant Administrator, you can now access the Portal account settings and the Administration Console from the Meridian Cloud landing page. This functionality is enabled by the 2022_3_AdminLinkOnCloudLanding release toggle.

You can now configure separate Approval and Review Reasons to use in workflows in PowerWeb. Review reasons are used when the document is submitted for approval from the Review status. Approval reasons are used when:

  • When the document is in Review status and then approved, skipping the Submit for Approval step

  • When the document is in Approve status and then approved

  • When the document is in Under Change status and then issued

This functionality is enabled by the 2022_3_Review_Reasons release toggle.

Users with only the Contractor role no longer have access to PowerWeb and Explorer by default.

Users who need access to Explorer should be assigned one of the Master roles and users who need access to PowerWeb users should be assigned the Contributor or Document Controller role.

If you have contractors added to a contractor user group, you should review the roles assigned to that group to ensure the group does not have unwanted permissions.

Due to changes in Oracle's license agreement, AutoVue is no longer being used to generate thumbnails in Meridian Cloud. Instead, Meridian Cloud generates new thumbnails from renditions generated in PDFTron.

As a part of our continuous dedication to the security and reliability of Meridian Cloud, we are changing the host we use for FTP access. As part of this change, you will need to update the Host URL in your FTP Connection Options. Learn how to configure your FTP Connection Options.

The Go Live date for this change is November 16th, 2022. Until that date, both the old and new URLs can be used for FTP access.

Previously, documents created in PowerWeb and then sent to Portal had two different document numbers which were not synchronized. This meant that two columns were required to display document numbers, and there was an increased chance for errors.

Now, you can configure Portal to use the Document Number created in PowerWeb if the format matches the current sequence definition in your settings. To avoid negative impacts to your current process, please contact your Accruent representative to enable this feature.

A new Upload tab has been added to the Document Settings section. This tab is where you will find settings to configure how the system processes uploaded files. These settings can be configured per project type.

On this tab there is a new Rendition Generation setting. When enabled, uploaded files are treated as source files. The source is sent to the Cloud Publisher to generate a rendition file for every supported file type.

When disabled, no renditions are generated and PDFs are uploaded as renditions.

This feature is enabled by the 2022_3_Generate_Rendition_Per_ProjectType release toggle.

In Manage User Accounts, Tenant Administrators can now select a user and navigate to the Expertise tab to view, enable, or disable areas of expertise for a user.

You can also access the identities associated with a user by selecting Identities from the Actions menu.

On the Expertise page, Tenant Administrators can now view, add, or remove users assigned to each area of expertise. Tenant Administrators can perform these actions, as well as create, edit, delete, export, or import areas of expertise applicable to any project type. You can now view previous versions of a document from the History tab of the Document Details. When you are viewing an old version of a document, a warning appears at the top of the screen. This warning informs you that you are viewing an old version of the document, and provides a link to view the current version.

We changed the name of the Members page to Project Team. From this page you can edit a project name as well as view and edit areas of expertise.

Both the Project Details and Project Team pages now show Project Type information in the Project Details properties.

Portal now sends notifications to the review team when the lead reviewer has completed the review package. If users do not want to receive these messages, they can disable them in the Email Notifications section of their profile settings.

Documents sent for information are read-only, and should only be sent to users with the Contractor role in Portal. However, some PowerWeb users have sent these documents to Portal users with other roles. This causes a situation where there are read-only documents in the Portal repository, which then need to be removed by Accruent Support.

To address this issue, Portal now blocks documents sent for information to Portal users that do not have the Contractor role.
