Configure the Revision Number Syntax

Every document in Portal is assigned a Revision Number value when it is added to the system. This number uniquely identifies each revision of the document and together with the document number described in Configure the Document Number Syntax is key to the system tracking every document regardless of what happens to it. The number is a configurable combination of major and minor number elements. You configure the syntax by selecting the format of each of the elements that comprise a complete revision number. You may define a separate syntax for each document type. When configured as described in this topic, the elements are automatically incremented as described in How Revision Numbers Work.

As of the 2022.2 release, the revision number is synchronized between Portal and PowerWeb.

To perform the tasks described on this page, you must be assigned to the Tenant Administrator role.

To configure the Revision Number syntax:

  1. On the Meridian Portal Landing page, at the bottom of the navigation bar, click the Account Settings icon A gear symbol..

    The Account Settings page appears.

  2. In the menu, click Document Properties.

    The Document Properties list appears and shows the properties that are available in your tenancy.

  3. Click the Settings icon A gear symbol. in the Revision row.

    The Document Revision Number dialog box appears. Examples of complete revision numbers are shown for reference.

  4. Click the Revision Number tab.

    The Revision Number page opens, and your current revision number settings appear on the page.

  5. Select the document type you want to configure from the Document Type menu in the upper-right corner of the page.

  6. Click the Edit link next to the Document Type menu.

  7. Click options or type values using the descriptions in the following table.

  8. If you want to preview how your settings will impact the generation of a revision number:

    1. Enter a starting value in the Starting value field.

    2. Click Generate.

      Portal will generate examples of how the revision number would change in multiple scenarios in both Portal and PowerWeb.

  9. When you are finished defining the syntax, click Save.

Document Revision Number options
Option Description
Document Type

Select a document type from the list to which the syntax definition will apply.

Major number style/
Minor number style

Select a number style from the list for the major revision number (left of period) and for the minor revision number (right of the period).

Major number incremental moment

Select an option for when the major revision number element should be incremented.

Initial version blank (Major)/
Initial version blank (Minor)

Enable the corresponding option if you want the first major or minor revision number to be blank (not a number or letter).

Shown as If you enabled one or both of the Initial version blank settings described in the previous row, select a value from Shown as to configure how the blank number should be displayed.
Increment major number upon release of document

If this setting is enabled, the major number is incremented when you release the document.

If this setting is disabled, the major number is not incremented when you release the document.
