Manage Custom Properties

A property is a document metadata field that is a member of a property set and that can appear on a property tab. Portal provides predefined sets of system properties that are available to all projects as described in Standard Property Descriptions. Portal also supports a set of configurable custom properties that are available to all project repositories.

Note:
  • You may add up to 25 custom properties.

  • Custom properties may only be of the Text, Lookup (Hierarchical Lookup not supported), or Date/Time data type.

  • The property name and label for custom text properties are limited to 255 characters.

  • Special characters (including, but not limited to / and \ ) should not be used in property labels.

To perform the tasks described on this page, you must be assigned to the Tenant Administrator role.

To navigate to the Document Properties page:

  1. On the Meridian Portal Landing page, at the bottom of the navigation bar, click the Account Settings icon A gear symbol..

    The Account Settings page appears.

  2. In the Account Settings menu, click Document Properties.

    The Document Properties list appears and shows the existing properties.

  3. Follow the appropriate procedures below.

ClosedCreate a New Custom Property

To create a new custom property:

  1. In the toolbar, click the Add icon A blue circle with a blue plus symbol in its center..

    The Add property dialog box appears.

  2. Click options or type values using the descriptions in the following table.

  3. Click Save.

    The property is added to the Document Properties list.

Property options
Option Description
Name

Type a permanent internal name for the property. Must be unique (case-insensitive) within the project and cannot be changed later.

Label

Type the name of the property as you want it to appear to users.

Special characters (including, but not limited to / and \ ) should not be used in property labels.

Property Type

Select the permanent data type. It cannot be changed later.

ClosedEdit Property Label

To edit the label of an existing property:

  1. In the toolbar, click the Edit icon A black pencil icon..

    The Customized Terminology fields of the properties in the list appear underlined to indicate that you may edit them.

  2. Edit the desired fields.

    Special characters (including, but not limited to / and \ ) should not be used in property labels.

  3. Click Save.

ClosedDelete Custom Property

You may only delete properties in which document data has not yet been saved.

If you delete a custom property that is in use, it will no longer be possible to access the property data. The Tenant Administrator must track these actions. To prevent data loss, the property data is not removed from PowerWeb. Once a custom property is deleted, a message is added to the audit trail.

If the custom property is used in a document number naming convention, the delete action is disabled, and the reason is given.

The property usage check only occurs in the Meridian Portal configuration, not in PowerWeb.

To delete an existing custom property:

  1. In the row of the property that you want to delete, click the Delete icon A blue trash can..

    A dialog box opens, asking you to confirm your choice.

  2. Click OK.

    The property is removed from the Document Properties list.

ClosedExport and Import Properties Settings

If you are a Tenant Administrator, you can use Configuration Copy Import and Export to export these settings from a tenancy and import them to another tenancy.

This feature is only available if the ConfigurationCopy feature toggle is enabled.
