Find Documents

By default, when you first view a project, you can see all the documents. You can use filters to see only the documents that meet your criteria.

ClosedView All Documents in Project

To view all documents in the project:

  1. Open the project that you want to view as described in Open Projects.

  2. In the navigation bar, click the Documents icon Multiple pieces of paper stacked on each other..

    The Documents page appears and lists the documents in the current view of the project.

  3. If any filters are applied to the view, reset the filter.

ClosedView Documents by Workflow Status

To view documents by their workflow status:

  1. Open the project home page that contains the documents that you want to view as described in Open Projects.

  2. On the project dashboard, click the tile of the status that you want to view.

    The Documents page appears and lists the documents in the current project with the selected status.

  3. To view a different status:

    1. Click the Status filter at the top of the page.

    2. Select the status you want to view.

    3. Click Update.

      The list refreshes to show only the documents with the selected status.

ClosedFilter the Documents Page

You can filter the Documents page by global and custom properties.

To filter the Documents page:

  1. View all project documents as described above.

  2. Choose between two options:

    • To apply filters:

      1. Click Add a Filter at the top of the page.

      2. Select the field you want to filter by.

        The filter appears to the right of the Add a Filter button.

      3. Click the right half of the filter button.

        The filtering options appear. You may be able to select from preset values or enter filtering criteria.

      4. Select or enter your filter criteria.

      5. Click Update.

        Records matching your filter criteria appear.

    • Open a Saved Search.

ClosedView Documents with Specific Property Values

To view only documents with specific property values:

  1. View all project documents as described above.

  2. To the left of the Documents list, click the Select filter icon A gray plus symbol..

  3. Select the property values of the documents that you want to see.

    The number of documents that have each property value is shown in parentheses after the property value. For example, the Document Type filter might show Project Type (123), which means that the project contains 123 documents with the type of Project Type.

  4. Repeat to add more filters.

    Click this icon A red x. to remove a filter.

  5. Click Filter.

    The list refreshes to show only the documents with the selected values.

ClosedView Documents with Non-Listed Property Values

To view only documents with non-listed property values:

  1. Type keywords in the field to the left of the Filter button.

  2. Click Filter.

    The list refreshes to show only the documents with the specified keywords in any property, file names, document numbers, or package numbers. The list is sorted by relevance. A keyword filter may be used together with selected filters.

ClosedView Deleted Documents

To view deleted documents:

  1. Click Add a Filter at the top of the page.

  2. Select Deleted Documents at the bottom of the menu.

  3. Click Apply.

    The list refreshes to reflect your selection.

ClosedSort the Documents List

To sort the Documents list:

  1. Click the heading of the column on which you want to sort the list.

    The list refreshes to show the documents sorted accordingly. The ascending or descending icon next to the column heading indicates the current sort order.

  2. To reverse the sort order, click the heading again.
